Why Choose Scale Oxford as Your Appointment Setting Agency?

  1. Built by Oxford Graduates

Scale Oxford is founded and run by Oxford graduates.

  2. Measured on Meetings Held

We count a meeting when it takes place, not when it lands in your diary. A booking nobody turns up to costs your team an hour and proves nothing.

  3. One Prospect, One Conversation

Calls, LinkedIn messages and emails are logged in one place, so nobody is chased on three channels in the same week or rung by two different people.

  4. A Founder Reads the Notes

A co-founder sits on every appointment setting account and goes through the call notes and replies with the team each week.

  5. Reachable in 7 Minutes

Message us on Slack about a prospect or a booked meeting and expect an answer in about 7 minutes.

  6. Appointment Setting From £1,200/Month

Appointment setting comes inside our lead generation packages, from £1,200 a month, with no minimum term.

Our B2B Appointment Setting Services

Appointment setting is the part of selling most teams put off: finding the right people, getting their attention and agreeing a time to talk. What you are buying is not a list or a number of dials. It is a meeting with a decision maker who knows why they are on the call.

If you were looking for a telemarketing agency, we make the calls too, but alongside LinkedIn and email. On its own the phone is the slowest way to reach a senior buyer, so each prospect gets to answer on the channel they prefer.

Targeting & Qualification Rules

Before anyone is contacted, we agree who you sell to and what a qualified meeting means for you: the size of company, the job titles that can buy, and the questions a prospect must answer before we book them.

Telephone Appointment Setting

Our callers ring decision makers at the businesses on your list, explain in a sentence or two why the conversation is worth their time, and book it while they have them on the line.

LinkedIn & Email Follow-Up

Prospects who do not pick up hear from us on LinkedIn or by email instead, in short personal notes rather than a sequence copied to thousands of inboxes.

Booking & Calendar Invites

Once a prospect agrees, the meeting goes straight into your calendar with an agenda, their details and a summary of the conversation, so you start the call knowing why they said yes.

Reminders & Rebooking

Every prospect gets a reminder before the meeting. If they still miss it, we contact them again and offer a new time rather than writing the meeting off.

Call Notes & Weekly Reports

Each week you see who we spoke to, what they said, which objections came up and which meetings took place, so the next round of calls starts from what the last one taught us.

Reachable like a colleague, not a support ticket.

Local business. A clinic, a dealership, a restaurant group: the demand is already here and already looking.

Ecommerce. A shop that sells online: most of the work is buying the demand and keeping the store fast.

SaaS. Software sold by subscription: found on its own terms, and sold to as well as marketed at.

Manufacturer. A business that sells to other businesses in volume, where the order comes after a conversation.

B2B services. A firm that sells expertise: most of the effort is starting conversations with the right people.

How a Meeting Gets Booked, Step by Step

  1. Step 1: Agree What Counts

We start from your best customers and the meetings that turned into sales, then write down what a qualified prospect looks like, so every booking can be checked against it.

  2. Step 2: Research the Accounts

We list the companies that fit and find the person inside each one who can say yes, with a direct line or a checked email address wherever one can be found.

  3. Step 3: Make Contact

A call, a LinkedIn connection or an email starts the conversation, depending on how each buyer prefers to be reached. Follow-ups are spaced out and stop the moment someone asks us to stop.

  4. Step 4: Qualify, Then Book

Interested prospects answer the questions we agreed with you. Those who fit are booked into your calendar; those who do not are thanked and left alone, however keen they sound.

  5. Step 5: Remind and Hand Over

The day before, the prospect gets a reminder and you get the notes. After the meeting you tell us how it went, and that tells us who to call next.

05

B2B Appointment Setting: Who We Call, and Who We Do Not

We call businesses, never households. Every number and address we use belongs to a company on your target list, and every prospect is someone whose job gives them a reason to hear from you.

Who we call

  • Companies on the target list you approved
  • People whose job means they can say yes
  • Business lines we have screened before dialling
  • Prospects who have asked to hear more

Who we do not

  • Households and personal numbers
  • Sole traders
  • Numbers registered with the Corporate Telephone Preference Service
  • Anyone who has asked us to stop, on any channel

06

Show Rate, Not Booking Rate

An appointment setting agency can make its numbers look good by booking anyone who says yes. The meetings that matter are the ones that take place with someone who could buy, so that is the figure we report first.

A no-show is often decided at the moment of booking: a prospect who agreed only to end the call, or who never heard what the meeting was for. So every meeting we book goes through the same four stages.

  1. They Ask for the Meeting

We book prospects who have asked for the conversation, never ones who agreed only to get off the phone.

  2. Confirmed in Writing

An invite with the agenda goes out the same day, so both sides know what the meeting is for.

  3. Reminded the Day Before

The prospect gets a reminder and you get the notes, so nobody arrives cold.

  4. Meeting Held

The number we report first. A booking that did not take place is never counted as a meeting.

Appointment Setting: Frequently Asked Questions

How much do appointment setting services cost in the UK?

Agencies price it in one of two ways: a monthly retainer, or a fee for each appointment booked. At Scale Oxford, appointment setting is part of our lead generation packages, priced at £1,200 or £1,800 a month, with telephone campaigns priced on request. There is no minimum term.

What is the difference between appointment setting and telemarketing?

Telemarketing usually means selling over the phone, or reading a script to as many people as possible. Appointment setting has one goal: a meeting between your sales team and a qualified buyer. We use the phone for that, alongside LinkedIn and email, but we never try to close a sale on the call.

Can we pay for each appointment instead of a monthly fee?

Not with us. A fee per appointment rewards the agency for booking anyone willing to say yes, which is how calendars fill up with meetings that go nowhere. A fixed monthly price lets us turn away prospects who do not fit, even when booking them would be easier.

What happens if a prospect does not turn up?

We get in touch with them the same day and offer a new time, and rebooking is part of the monthly fee, never an extra charge. A missed meeting is never counted as a meeting held, and if one type of prospect keeps missing calls, we change who we book rather than booking more of them.

Is it legal to cold call businesses in the UK?

Yes, with conditions. Under PECR, sales calls must not be made to numbers registered with the Telephone Preference Service or the Corporate Telephone Preference Service unless the person has agreed to hear from you, and the caller must say who they are calling for. We screen numbers before calling and stop as soon as someone asks.

Do you only book appointments for businesses in Oxford?

No. Our office is in Oxford, but we set appointments for companies across the UK, and the people we call can be wherever your buyers are. The work happens on the phone, LinkedIn and email, so distance makes little difference.
